CLEANSING OF WORKER AND LOAD DATA
 
DISCUSSION:
In June 2000, FAMIS and Food Stamp Program and Policy staff asked all county staff to verify and correct worker data in the IWKR screen.  Thank you for the hard work by all staff who ensured this was completed for your county.  This is the first step in the process for converting food stamp cases to FAMIS with as little interruption to daily operations as possible.  Maintaining correct data in the IWKR screen is very important.  Please ensure this data is updated as staff changes are made.

This memorandum addresses the next phase in the clean-up process.  FAMIS and FS Program and Policy staff compared IWKR data with the worker number and supervisor number in FSU5.  This comparison program does not look at the backup worker number.  The comparison process will be run periodically to check for correct data until each county is converted to FAMIS.  Report No. FAMC 8029-01 "Food Stamp Worker Error Report" is developed to list any comparison errors.  The possible error messages and what is meant by each are provided.

  • WORKER-REC WAS NOT FOUND FOR WORKER NO.  - The worker number in FSU5 does not have a worker record with Personnel, and is invalid.  This may be a typographical error.
  • CTY-LOAD-R WAS NOT FOUND FOR CASE  - The load number in FSU5 does not exist for the specific county.  If this is a new load number, county staff must update IWKR data. 
  • WORKER IS NOT ACTIVE  - The worker is no longer with the agency. 
  • WORKER/SUPERVISOR MISMATCH  - The worker number and supervisor number in FSU5 do not match for the load as according to the IWKR screen. 
  • WORKER/WORKER MISMATCH  - The worker number and load number in FSU5 do not match as according to the IWKR screen.
  • WORKER RACF IDENTIFIER NOT FOUND  - The worker's USER ID is not found. 
  • WORKER-REC WAS NOT FOUND FOR SUPERVISOR NO.  - The supervisor number in FSU5 does not have a worker record with Personnel,and is invalid.  This may be a typographical error.
  • SUPERVISOR IS NOT ACTIVE  - The supervisor is no longer with the agency.
  • SUPERVISOR RACF IDENTIFIER NOT FOUND  - The supervisor s USER ID is not found.
Please have someone in each county office determine the correct worker, supervisor, and load data for each error that appears on the FAMC 8029-01report. 
  • First, ensure the case is in the correct load.
  • Verify the worker number who is assigned to that load. 
  • Verify the supervisor number who is assigned to that load.
  • Record all three pieces of information for each case appearing on the report. 
  • If there are several cases shown on the same page for the same load, the correct data only needs to be written once on the page.  Please specify the cases to which the correct data applies.
  • Send the completed reports to the FS Program and Policy Unit, ATTN.:  Rachel Morris, by Friday, September 15, 2000.
FAMIS staff will automatically update the incorrect data in FSU5 without worker intervention. 
Staff must continue entering the correct worker, supervisor, and load data for each case.  Staff must use the backup worker field if completing an action on a case that is not assigned to their caseload.  Enter the correct worker number and supervisor for the load to which the case is assigned.  Failure to follow these procedures will cause cases to either not be automatically converted or be converted to the individual whose worker number appears in the worker  number field in FSU5.

This process will be repeated in the future to ensure correct data is maintained and to clean up cases that have had no action taken since a staff change.
