FAMIS ON-LINE REPORTS - PREPARATION FOR FOOD STAMP IMPLEMENTATION
 
DISCUSSION:
This memo discusses the changes to the Managed Reporting using the Intranet on-line reporting system with the implementation of the Food Stamps to FAMIS.  There will be no change in how to access the Managed Reporting page. Please review EMAIL-IM-62 dated June 23, 2000 for this information.  There will, however, be a change in the security groups which have access.

OVERVIEW:

On-line reports will replace most of the Food Stamps paper reports received currently. For a period of time, during the conversion of the Food Stamp cases, counties will have both the paper reports from the legacy system and the on-line reports from FAMIS.   New Child Care reports will be available the month after the initial pilot FS implementation.  These reports will be based upon Child Care data put in the FAMIS system during the previous month.

Access to each on-line report is based upon the person signed on: base location of the person, security access, and the caseload or supervisory unit assignment. For example, the front line supervisors in one DFS office will be able to view reports regarding the caseworkers they directly supervise. They will not be able to view reports for caseworkers in another DFS office or in the same DFS office that they do not directly supervise. 

SECURITY ACCESS:

Attached please find a table of the Security Groups available to staff.  Review it for identification of the correct Security Group for staff. Keep the table for future reference for new staff or changes in Security Groups.

Food Stamps: Staff needing access to Food Stamp reports must submit a DFS-137 to request security access.  Please complete the form for each staff member requesting access with the following information in the "Comments" section of the DFS-137:
Request Security Level "WEB FOCUS."
Request a specific Security Group from the table based upon job function. 
Send the completed form to FAMIS Security at 1014 Madison St, Jefferson City, MO 65101. 

Child Care: Child Care staff may have already submitted DFS-137's requesting security access.  The access given to them will continue without a need for another DFS-137.  The current Security Group called FAMIS DFS Office has a name change to Supervisory Unit Level 2 and a new Security Group called DFS Office is being added when the Food Stamp program is implemented. If there is a need to change the access of an individual, submit a new DFS-137 requesting the changed Security Group.

Due to the anticipated large volume of DFS-137's, please submit the forms for new or revised security access by 1-31-2002.

NECESSARY ACTION:
  • Immediately complete and submit DFS-137's for staff to FAMIS Security at 1014 Madison St, Jefferson City, MO 65101. The due date for the forms is 1-31-2002.
  • After notification is received to access on-line reports, sign on the Department of Social Services, Division of Family Services Managed Reporting System through the Intranet.  Currently, Child Care provider reports are available for all staff.
  • Contact FAMIS Help Desk (1-800-MOFAMIS or 1-800-663-2647) to report problems or ask questions.

SECURITY GROUP REPORT ACCESS SUGGESTED AUDIENCE
COUNTY ACCESS
Caseworker FAMIS caseload data for the primary caseloads of the report user IM staff assigned a FAMIS caseload (EUC, INA, TRA).
Supervisory Unit Level 1 FAMIS caseload and supervisory unit data for the primary supervisor of the report user. IM Supervisor 1 assigned to a Caseload (CAS) or Transfer (TRA) FAMIS supervisory unit.
Supervisory Unit Level 2 FAMIS data at caseload or supervisory unit level for the primary supervisor of IM Supervisor 1's. IM Supervisory 3 and above assigned as a Manager (MGR) or Administrative (ADM) FAMIS supervisory unit.
DFS Office FAMIS data for a single DFS Office IM Supervisory 3 and above assigned as Administrative (ADM) FAMIS supervisory unit. 
Clerical staff responsible for running reports.
County Office FAMIS data for a county.  This includes information for all DFS offices within that county (e.g. St. Louis, Clay, Jackson). County Directors.

Clerical staff responsible for running reports

Area Office FAMIS data for all DFS counties within an area including sub area reports. Area and Sub Area staff.
Clerical staff responsible for running reports.
STATE OFFICE ACCESS
State Office FAMIS data for any area, sub area, county or FAMIS DFS office within the state of Missouri. DFS Policy and Administrative staff including state office clerical staff.
