SUBJECT: | REPORT FOR BIRTHDATES THAT DO NOT MATCH IN FAMIS AND COMMON AREA |
DISCUSSION:
This memorandum introduces a quarterly report for matching birth dates between FAMIS and the Common Area of FAPC. When a person is initially entered in FAMIS, the birth date in the Common Area is transferred to the BIRTH screen in FAMIS. Any subsequent change of a birth date does not update the other system.
After an individual is in FAMIS, a change on the BIRTH (FAMQ) screen does not update the Common Area, and a change to the birth date on the SUPD screen does not update the BIRTH screen in FAMIS. Therefore, when changing a birth date, it is important to update the BIRTH screen in FAMIS and the SUPD screen.
The quarterly report lists all individuals that have one date of birth in FAMIS and a different date of birth in the common area of FAPC. The correct date of birth needs to be determined and the systems updated to match.
The report will be sent directly to the counties to address any discrepancies in dates of birth. Review this report as soon as possible and take the following actions:
- For individuals born in Missouri, access the IBTH screen and determine the correct date of birth. Update the incorrect birth date on the SUPD screen or the BIRTH (FMAQ) screen as appropriate.
- For individuals not born in Missouri, review the case record for verification. If verification cannot be located, request it from the individual. When the correct date of birth is determined update the incorrect birth date on the SUPD screen or the BIRTH screen as appropriate.
If the incorrect date of birth is associated with a verified social security number and you are unable to update it, contact Data Management at email address Cole CoIDM for assistance.
NECESSARY ACTION:
- Review this memorandum with appropriate staff.
