Staff must maintain case records to contain all information to support eligibility, ineligibility, and benefit level determinations.
Documentation must be in sufficient detail to permit a reviewer to determine the reasonableness and accuracy of all case actions taken by staff.
Documentation includes:
- what action is taken, by whom, and when;
- all verbal contacts with the household;
- all collateral contacts naming the source of the information and the date the contact was made;
- all written requests for contact, i.e. scheduling an interview or date to contact the agency.
Notes or comments must be recorded in the eligibility system for verification provided by or received for the SNAP household. Access FAMIS Resources to determine where to enter a comment and what type of comment is needed for each type of verification.
