IM-103 8/9/02  ONLINE TIME STUDY PILOT PROJECT

ONLINE TIME STUDY PILOT PROJECT 
 
DISCUSSION:
Thank you for all the hard work contributed to the statewide IM Online Time Study Pilot Project. The first month of the project has been completed.  The following information addresses questions and concerns provided by the staff during the first month. 

To access the Online Time Study Report, "Microsoft Internet Explorer" software needs to be used.  Each office has some computers set up to access Microsoft Internet Explorer.  ISTD is in the process of installing Microsoft Internet Explorer on all DFS systems.  To determine if a computer has access capabilities, look to the right of the start button at the bottom of the screen or for an icon on the desktop.  Microsoft Internet Explorer is loaded on the system if the following icon appears:

Double click on the icon and the title bar that appears at the top of the screen should read "Missouri State Government Home Page-Microsoft Internet Explorer".   Note that the Online Time Study Report can be accessed through "Netscape," however data can not be entered.  If data can not be entered on the Time Study tracking log, exit completely out of the system and check for the correct software.  Problems regarding accessing Microsoft Internet Explorer should be addressed to the Area Technology Coordinator.
 

  •  If there is not a bookmark for the DFS Employee Intranet Site, it can be accessed by typing the following in the address line of the Missouri State Government Home Page:
  • http://dssweb.intra.state.mo.us/dfs
  • An Enhancement has been added to the DFS Employee INTRANET page to include a direct link to the Online Time Study Report under "TOOLS". 

  •  
  • When the first screen of the Online Time Study appears, staff are asked to enter identifying information for the time study participant, the month of the report and the specific date of the time study.  Based on a recommendation from field staff, ISTD has changed the participant identifier from the "Social Security Number" to the "User ID." 

  •  
  • All information entered on the Online Time Study screens remains within the secure DFS Intranet site. 

  •  
  • There is some confusion on when to enter the "X" code and/or the "9" code on the report.
  • The "X" code is used for activities that occur during the normal paid working hours, such as: breaks, vacation, sick leave, staff meetings, training, etc.  This code is used for activities that are not case/program specific. 
    The "9" code is used only for the time periods considered non-working hours.  This code is used for Lunch periods and the hours before and after the normal work schedule.
    The "Z" code has been discontinued.
  • Nine staff have received an August time study form dated Saturday, 08/31/02. Research and Evaluation has requested that staff indicate at the top of the time study form that it was not completed due to a Saturday report date and return the form incomplete following current policy.
