Annual renewals for UWHS must be completed once every twelve months as provided by 42 CFR 435.916.
Ex Parte Renewals
An ex parte renewal is a renewal completed using reliable information available to the agency, without requiring information from the individual. Attempt to verify necessary eligibility factors, such as income or citizenship (if not already verified), by accessing available electronic data sources and other eligibility systems.
When available information indicates no change in eligibility, renew the case without requesting information from the individual.
Automatic Annual Renewals
Automatic annual renewals are a type of ex parte renewal. These renewals are completed by the eligibility system when there is enough information available to the agency to complete the renewal without requiring information from the participant or intervention from staff. A redetermination of eligibility during an automatic annual renewal is based on information available to the agency through electronic data sources and other eligibility systems.
When available information indicates no change in eligibility, the case is renewed without requesting information from the individual.
Pre-populated Renewals
If an ex parte renewal cannot be completed because of insufficient information available to the agency, the eligibility system sends a pre-populated annual renewal form to request additional information from the participant. Review 1880.005.00 Pre-populated Annual Renewal Form for more information.
