Beginning November 1, 2002, all time study
reports will be completed online. Participants will no longer receive paper
forms in their office. The following is the process for completing the
online time study process.
-
An OfficeVision Email is received two days
prior to the time study reporting date.
-
Go to the DFS Intranet through Internet Explorer
(See Memo IM-103 regarding access to Internet
Explorer).
-
Click on IM
Time Study under "TOOLS".
-
Click on "Print the Code Sheet" and select
print to obtain a copy of the code sheet.
-
Manually complete the copy of the IM Time
Study Code sheet on the required date.
-
The next working day following completion
of the paper copy of the time study, go to the DFS Intranet, Tools and
click on IM Time Study. (NOTE:
The Navigator bar at the top of the screen should read "IM Time Study-Microsoft
Internet Explorer".)
-
Enter User ID and Date of time study.
-
Enter the begin time of your workday.
-
Enter the end time of your work day. (NOTE:
If vacation or sick leave for a full day WAS NOT taken on the required
completion date, go directly to step 12.)
-
If a full day of vacation leave was taken,
click the vacation leave box. (Go directly to step 13.)
-
If a full day of sick leave was taken, click
the sick leave box. (Go directly to step 13.)
-
If you are no longer a caseworker or SSCM
required to complete the time study report, check the box next to "Not
Caseworker or SSCM level". (Go directly to step 13.)
-
Click "Submit". (NOTE: The completed
data entry form page will automatically display if you have selected a
full day of vacation/sick leave or no longer a caseworker or SSCM.)
-
Transfer data from paper form to online entries.
If the required completion is a regular day off, use the "9" for all code
lines. DCN's will not be allowed as an entry when using the "9" or
"X" code. (REMINDER: The "9" code is to be used for all NON-WORKING hours,
which includes LUNCH. All other time not related to a specific job
task should be coded with the "X", which includes breaks, meetings or training).
-
Click "Submit".
-
A message stating that the time study has
been successfully completed will appear.
-
Retain a paper copy of the time study for
twelve (12) months following report month.
Our goal continues to be 100% completion for
statewide return rates. At the beginning of each week, county offices will
receive a fax indicating staff who have not completed their online time
study reports for the previous week.
