In the first few weeks after conversion, Central Office staff became aware that the number of "unable to locate" alerts generated statewide, exceeded reasonable expectations. To avoid potentially incorrect case closings, Central Office held these "unable to locate" alerts until the issue could be researched. The issue has been resolved and DWD will contact these individuals again with a special call-in process beginning December 15, 2003. CURRENT PROCESS When a call-in letter is returned "unable to locate" and is marked by the Post Office indicating "no known forwarding address" to DWD, the revised alert will be generated to FSD staff. FSD staff are to investigate any known address to the agency before taking action to close the Temporary Assistance case. If a more recent address is known to FSD, change the address in the IMU5 system. The updated address will be sent to DWD in a daily file. If a more recent address is not known, take action to close the Temporary Assistance case. An IM-80 is not required per Chapter X, Section III, Page 11. Send a Notice of Case Action (IM-33). If the individual contacts FSD staff with a current address, within the 90 day timeframe that the individual would have been given to request a hearing on the Adverse Action Notice (IM-80), cancel close the Temporary Assistance case and review current circumstances. |
