EBT CARDS AND PINS MAILED TO THE COUNTY OFFICE
EBT MANUAL REVISION #2: 0150.030.05
DISCUSSION:
The purpose of this memorandum is to clarify procedures for Electronic Benefit Transfer (EBT) cards and PINs mailed to the county offices.
If an EBT card is to be mailed to the county office, the MAILING indicator code is changed to “O” on the EBTU screen. The EBT card and PIN are then drop shipped to the county office with a manifest for tracking purposes. Follow instructions in 0150.030.05 Drop Shipments for handling EBT cards and PINs mailed to the office.
In some circumstances the county office address is used for the EU mailing address in FAMIS. If the mailing indicator in EBTU is not coded as county office mailing for drop shipment, and the mailing address is the county office address, the EBT card and PIN are mailed to the county office without a manifest. These cards and PINS must be treated in the same manner as drop shipped cards and are not filed in a case record.
Destroy and cancel EBT cards and destroy PINs not picked up after thirty days.
Food Stamp Manual Section 0150.030.05 is revised to include these clarifications.
NECESSARY ACTION:
- Review this memorandum with appropriate staff.
- Enter an “O” in the MAILING field on EBTU for EBT cards mailed to the county office and follow drop shipment procedures.
- Destroy and cancel EBT cards and destroy PINS not picked up after 30 days.
