- ADDRESS CHANGES BEFORE OTHER ACTIONS IN FAMIS
DISCUSSION:
The purpose of this memo is:
- to clarify the correct order for completing actions in the Family Assistance Management Information System (FAMIS) and
- to remind staff to review the residential and mailing addresses.
Ensuring that the participant's address is correct at every action is important for Food Stamp payment accuracy. When the Food Stamp Mid Certification Review (FA 545), Appointment Letter (FA 331), Notice of Missed Interview (FA 332), and Request for Information (FA 325) forms, or any other notices of case action are generated and mailed to the incorrect address it is an incorrect action. It is important for all programs for the participants to receive notices and requests for information at the correct address so they have the opportunity to be informed of the actions on their case and to respond timely.
ORDER OF CASE ACTIONS
Eligibility specialists (ES) must make address changes, if applicable, in FAMIS before taking ANY other action on a case. Generating a FAMIS form first and later that day changing the address creates mailing issues. The first form generated with the client's address is the address used for all mailing that day, even if the address is changed later the same day. Therefore, it is imperative that any address changes be made before taking other actions or generating any notices. This includes registering an application, taking an application into the controlled flow, or making any budget adjustments.
REVIEW OF ADDRESSES
When the eligibility unit (EU) reports a change of address, and any time when processing a case in FAMIS, review the residential address and mailing address, to ensure correspondence is sent to the correct address. When a physical address is changed in FAMIS on the Supercase Address/Supercase Transfer (Address/FM0A) screen or Eligibility Unit Transfer (EUTRAN/FM12) screen, please review the Person Detail (PRSNDTL/FM0I) screens for EU members and update the mailing address if needed.

NECESSARY ACTION:
- Review this memorandum with all appropriate staff.
- Change FAMIS addresses before taking any other actions in FAMIS.
- Review the physical address and mailing address (if any) in FAMIS to ensure correspondence is sent to the appropriate address.
